Terms and Conditions of booking
Please read the below terms and conditions carefully before booking, these apply to any conference tickets, social events and accommodation booked via the SLS registration system.

Booking and Confirmation
1. The booking confirmation together with these terms and conditions constitute a legally binding contract and by confirming your booking you are legally obliged to make payment for all fees as applicable by your registration.
Amendments/Cancellation by you
2. Delegate substitutions may be made at any time at no additional charge by emailing slsconference@mosaicevents.co.uk.
3. Cancellations must be received in writing to slsconference@mosaicevents.co.uk.
4. Refunds will apply as follows, based upon the cancellation notice given:
-On or before: Friday 12 June 2026 – 100% refund less £30 administration + bank charges.
-Between: Saturday 13 June 2026 and Friday 10 July 2026 – 50% refund less £30 administration + bank charges.
-On or after: Friday 7 August 2026 – no refund
No refunds will be made for delegates failure to attend the conference or for missed bookings for any reason including delayed or cancelled transport to and from the event.
5. Any refunds will be returned to the original payment method used at the time of purchase. For security reasons, we are unable to process refunds to an alternative payment method, including bank transfers, where the original payment was made by credit or debit card.
6. In exceptional circumstances, where a refund to the original payment method is not possible, requests for alternative refund arrangements must be submitted in writing to slsconference@mosaicevents.co.uk.
Such requests will be reviewed on a case-by-case basis and may require identity and payment verification before any refund is processed. Approval remains at the sole discretion of Mosaic Events.
Amendments/Cancellation by us
7. Our acceptance of your booking is on the understanding that circumstances beyond our control may prevent us from meeting our obligations at the relevant time in which case we will not be liable for any loss suffered by you or any third party.
8. Should we, for reasons beyond our control, need to make amendments to your booking and/or the conference more generally, we reserve the right to provide alternative arrangements which will usually be minor. Such minor changes could include for example, the alteration of the advertised programme (including speakers) or timings of the event.
9. In the case of circumstances beyond our reasonable control that result in the conference being cancelled by us, no refunds of registration fees will be made.
10. We disclaim any further liability, including but not limited to costs of accommodation, train fares or any other arrangements made in connection with attending the conference.
11. Participants are advised to secure appropriate travel insurance to cover potential losses.
Payment
12. Full payment for your booking must be received prior to registration at the conference or at any associated elements of the conference.
13. The organisers reserve the right to refuse entry to any delegate who has not paid in full by the due date of Wednesday 12 August 2026.
14. Payment must be made in GBP Sterling. Payments can be accepted by:
a. credit/debit card (Visa and Mastercard only) at the time of booking on the website or
b. invoice provided that accurate and relevant address details are provided by you during the booking process. The invoice is required to be paid within 15 working days of the date of booking/invoice. Failure to pay the invoice within 15 working days will result in the booking being cancelled unless a Purchase Order/PO Number has been submitted.
15. The cut-off date for issuing of an invoice will be Wednesday 5 August 2026. Any booking made after this date must be paid for by credit/debit card at the time of booking on the website or in person at the venue upon registration at the conference.
Access and Dietary Requirements
16. We aim to place our events in venues, accommodations, etc that are fully accessible. As far as possible, we will offer suitable advice so that you are fully informed. We ask that you advise us of your access requirements/needs so that we can endeavour to meet them. You acknowledge that if we are not aware of your needs, we may not be able to provide for them.
17. You must notify us of any food-based allergies you may suffer from or any other dietary requirements you may have. We will communicate this to the event caterer(s). You acknowledge that without such information, the caterer(s) may not be able to provide food for you.
18. While we will endeavour to provide for your requirements as notified to us, Mosaic Events and the organisers are not the end providers and therefore cannot guarantee that they will be accommodated.
Code of Conduct
19. We are committed to diversity, equality, and inclusion and actively promote inclusion and accessibility at our events. We value the participation of each individual and want all participants to have an enjoyable and fulfilling experience.
20. The SLS 2026 Conference is intended to encourage the sharing of professional knowledge and ideas. We take our delegates’ safety seriously and support delegates of all backgrounds, needs and interests and get fully involved in Conference.
21. All communication and behaviour should therefore be appropriate for a professional audience including people of many different backgrounds. Sexual or discriminatory language and imagery will not be tolerated.
22. Delegates violating these rules may be asked to leave the conference without a refund at the sole discretion of the conference organisers.
